Exporting emails to a new PST within Outlook

These instructions are a step by step guide to export email messages from Outlook and store into a PST file.  This is ONLY an export, the original email messages in the folder will remain after the export is done.  It is only a backup!


Open Outlook then click on FILE



Click on Open & Export



Click on Import/Export



With the Export and Export Wizard open Select Export to a File and click on NEXT



Select Outlook Data File (.pst) and click on Next



Now click on the folder you want to export.  If you want to get all folders UNDER that folder you selected, make sure that Include Subfolders has a check mark then click on Next.




Change the path and filename of where you want to store the PST file.  For the purposes of this document, I am storing the backup on my c:\backups folder.



IF you want to select the folder, click on BROWSE and go and select the folder directly and click on OK otherwise you can click on Finish



You will be prompted to add an optional password to the archived mail.  this is not required and most people skip this.  Just click OK



During the export process, you will see Outlook Data File in the folder list on the left side of Outlook.  When this folder goes away the export is done and your new PST file is in the folder you selected with the name.



TO OPEN A PST FILE THAT YOU EXPORTED 

These are the steps needed to open an archived PST file.


In OutLook, click on File


Click on Open & Export



Click on Open Outlook Data File



A window asking you were the file is located will appear..  Navigate to the folder where the PST file is located.  Select the file then click on OPEN



Outlook will open the file and on the left side where your email folders are located, you will now see a "Outlook Data file".  Expand the inbox and you will see your folder that was backed up.






Once you are done with the archived messages, you can right click on the Outlook Data File and click on Close Outlook data file



Now the outlook file will be removed from within Outlook.
